We are seeking a highly organized, detail-driven Sales Administrative Coordinator to support our sales and marketing teams. This role is pivotal in ensuring our client engagements, internal workflows, and sales processes run smoothly and professionally from first touch through renewal. You’ll handle quoting, licensing, CRM and marketing database management, and coordination of internal and external events. The ideal candidate thrives in a fast-paced, team-oriented environment, takes ownership of administrative workflows, and ensures every deliverable reflects our commitment to excellence.

Key Responsibilities

Sales Administration

  • Prepare and process all client licensing and renewals (e.g., Microsoft 365, endpoint protection, backup, and cloud subscriptions).
  • Create and deliver small quotes for inside sales requests and renewals.
  • Assemble and manage all proposals and quotes for outside sales opportunities using ConnectWise Sell.
  • Track proposal and quote lifecycles to ensure timely delivery, approvals, and follow-ups.
  • Collaborate with the sales engineer or technical team to ensure quote accuracy, including hardware, services, and labor scopes.
  • Maintain organized records of signed agreements, SOWs, renewals, and licensing documentation.
  • Manage deal registration submissions and track expiration dates of special pricing or promotional offers.
  • Support Account Managers with Technology Business Review (TBR) preparation and materials.

CRM & Data Management

  • Maintain and audit sales data in ConnectWise and marketing data in Glasshive to ensure completeness, accuracy, and consistency.
  • Perform regular data hygiene tasks: remove duplicates, correct invalid records, and standardize formatting.
  • Tag and segment contacts/companies by vertical, geography, and buyer role for targeting and reporting.
  • Monitor and report on lead activity, bounced emails, and campaign response rates for ongoing list refinement.
  • Document and refine processes for data entry, segmentation, and CRM usage across platforms.

Marketing Coordination

  • Support outbound marketing campaigns by building and verifying contact lists in Glasshive.
  • Assist with campaign execution, including newsletters, email outreach, and direct mail campaigns.
  • Coordinate logistics and materials for lunch-and-learns, tradeshows, and prospecting drops (e.g., branded folders, treats, collateral).
  • Track marketing campaign performance data and assist with ROI analysis and lead source tagging.
  • Facilitate collaboration between marketing and sales to ensure campaign activity is followed up on promptly.

Internal & Client-Facing Coordination

  • Attend weekly sales meetings; capture notes and action items, and assist in follow-through.
  • Coordinate team lunches, client appreciation events, and company meetings (food, venue, materials).
  • Track RSVPs and communicate event details to clients and internal teams.
  • Maintain an inventory of branded materials, folders, handouts, and giveaways for events or sales visits.
  • Order printed collateral and ensure all materials are professional, accurate, and presentation-ready.
  • Support onsite client visits, including event setup, signage, catering coordination, and hospitality.

Team Support & Admin Workflow

  • Monitor the sales ticket board in ConnectWise and assist with assignment, tracking, and completion of tasks.
  • Schedule follow-ups for renewals, licensing reviews, or client meetings based on system alerts or manual tracking.
  • Maintain organized folders and templates for proposals, contracts, and recurring documents.
  • Assist with preparation of meeting decks and update client-facing sales tools or documentation.
  • Provide overflow support to sales, marketing, or account management during peak periods.
  • Track dates for key client renewals, agreements, hardware refreshes, and notify the appropriate team members.
  • Support onboarding of new sales staff with documentation, system access, and internal process training.

Skills & Qualifications

  • 2+ years of experience in an administrative, sales support, or marketing coordination role (preferably in IT, MSP, or B2B service environment).
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Experience with ConnectWise, Glasshive, or other CRM/PSA tools is a strong plus.
  • Excellent organizational skills and extreme attention to detail.
  • Professional communication, both written and verbal.
  • Strong follow-through and ability to meet deadlines without sacrificing quality.
  • Self-motivated with the ability to work independently in a fast-paced environment.
  • Comfort with coordinating multiple teams, personalities, and shifting priorities.
  • Typing speed of 50+ WPM preferred for efficient data entry.
