2025 Seasonal Event Coordinator

November 10 – December 30, 2025

St. Louis Union Station

SLAY Events is seeking an experienced, energetic, and solutions-driven Seasonal Event Coordinator to join our team on-site for a large-scale, holiday-themed public event in downtown St. Louis. This role runs from November 10 through December 30, 2025 , with pre-and post-event support for load-in/out.

As part of our production team, you’ll help oversee operations, entertainment, talent, suppliers, staffing, guest experience, and safety — ensuring a seamless and memorable holiday experience for thousands of guests.

Key Responsibilities

Event Operations

  • Support vendor load-in and load-out schedule (October through January).
  • Ensure event spaces are fully set, clean, stocked, and guest-ready each day.
  • Monitor executive restroom trailers for cleanliness and supplies.

Talent & Staff Management

  • Oversee staff and talent check-in/check-out.
  • Manage costume, props, and accessories inventory, including maintenance and cleaning.
  • Coordinate talent meals, beverages, and backstage needs.
  • Ensure talent remains in character and positioned throughout performances.

Guest Experience

  • Provide accurate knowledge of property activities and event timelines.
  • Assist with guest flow, traffic coordination, and safety measures.
  • Ensure compliance with event safety and health protocols.

Troubleshooting & Support

  • Proactively resolve on-site challenges or escalate to the Event Manager as needed.
  • Manage on-site office, supplies, and replenishment.
  • Assist with staff/talent catering and other operational needs.

Requirements
  • Bachelor’s degree preferred.
  • Minimum 3 years of on-site experience as an event coordinator, manager, or in a theatre-related capacity.
  • Flexible availability—including weekends, evenings, and holidays.
  • Physically able to walk/stand for extended periods and lift up to 30 lbs.
  • Comfortable working both indoors and outdoors in all weather conditions.

Compensation
  • Hourly wage: $18.00 – $25.00 , depending on experience.
  • Overtime pay for hours worked beyond 40 per week.
